Summer Carnival
Parents & Co are hoping to hold a Summer Carnival in February 2025. This is a fantastic event, both from a fundraising event and community engagement perspective.
That said – it does not happen on its own and it is reliant on people within our school community getting involved.
This year we are reaching out for 10 people to take on 10 key roles, all of which are bite-sized pieces. A brief of these roles can be found below. We do have all the information and planning from the last event so this is not a start-from-scratch requirement.
If we are unable to identify a core team as per the listed roles below, the event will not be deliverable. We will make a final decision in three weeks’ time (27th August).

Lead Roles are:
Overall lead
Take Overall responsibility and provide guidance for team leads.
Together – set date and back up date
Set theme
Lead on day – briefing
Entrance fee/pricing
Marketing/PR/Comms
Coordinate all marketing/advertising activities including poster design and distribution, local newspaper engagement, fullers advertising and Facebook activity to promote event.
Communication to local schools to share dates and inform locals of upcoming event and noise (letter drop).
Runsheets and Comms on day.
Sourcing photographer and post event news article
Stage
Facilitating use of Stage, stage set up including identifying sound system/kit set ups and booking/scheduling of stage entertainment.
Stalls
Booking and management of stalls including class stalls, external stalls and food providers (trucks) where necessary.
Entertainment
Coordination and booking of entertainment and manning on event day (not including stage events) – bouncy castles, waterslide, facepainting, games etc.
Auction
Do we want one
Sourcing auction items & Auctioneer.
Décor
Design concept and installation of décor – this includes stage/bar areas, entrance to school (in front of office) and ensuring all stalls have similar décor in line with overall vision.
Coordinate with School Art contribution, Kids to produce art items to action off?
Bar
An optional extra but a great money earner.
Booking of bar and walk in fridge for storage, Sourcing products and providing pricing
Licencing and DM roster
Security? – may be required
Safety
First Aid Kits
Carpark management
Sunscreen etc
Lost Kid location
Equipment & Logistic Support
Sourcing tables and marquees
Souring electrical/generator requirements
Walkie Talkies for comms on the day
Floats on day
